The Siena School in Northern Virginia seeks a culturally competent, caring, and highly organized Office Manager to join a dynamic and creative team. Working at Siena is an exciting opportunity to make a meaningful impact. The Siena School Office Manager position is central to the day-to-day operation of the campus and is highly engaged with students and school life. This person will also fulfill a variety of important responsibilities, including serving as a receptionist, office and project manager, assisting the registrar, and providing support to faculty, staff, and administration. The Office Manager serves as a member of the campus crisis team and a medication technician for basic student health, dispensing medication, and providing first aid. This is a full-time, exempt salaried, onsite and 12-month position. Working hours are 8:00 am - 4:00 pm.
Responsibilities include:
Receptionist and primary point of contact. Tasks include providing resources for parents, answering doors and phones, greeting and registering visitors, communicating with the Siena community, visitors, and the public in person and through email, phone, and other communications platforms such as ParentSquare.
Office and project manager, including project management. Tasks include coordinating and assisting with school-wide programs and events; liaising with the Event Coordinator; managing supplies; maintaining and updating school and student records and student databases throughout the school year and summer school; and maintaining campus-based calendars.
Administrative and day-to-day support to students and faculty. Tasks include maintaining and organizing daily attendance records; coordinating daily substitute needs; managing faculty course materials and the student conference schedule; serving as a liaison and providing task support to central office administration; coordinating professional events; assisting with staff recruitment and hiring; and providing support for admissions and summer school.
Program support for students and teachers. Tasks include supporting program and field-trip logistics and monitoring students. providing support for division and all-school events, including working closely with the campus event coordinator and division leadership.
Other Essential Duties and Responsibilities

Establish and maintain good relationships with varying stakeholders
Consistently provide a high level of customer service in a positive and professional manner to internal and external members of the community.
Attend campus and cross-campus meetings, and regular meetings with the Head of School
Work closely with the Head of School and other administrators on administrative projects, school events, and management of school procedures
Main point of campus contact during the summer months, including support for the weeks of the summer school program and preparation for the next school year

Salary and Benefits: $55,000 - 75,000, depending on experience

Position Requirements
Demonstrated career interest in office or organizational administration. Experience in education settings, private schools, or the social sector is a plus.
Bachelor's degree with a strong academic track record
Knowledge, Skills, and Abilities:
Excellent written and verbal communication. Ability to effectively listen and respond to students, parents/guardians, faculty, and staff.
Ability to take initiative and manage multiple Ability to set priorities, organize, analyze, work independently, meet deadlines, problem-solve, and multitask.
Ability to manage multiple tasks in a fast-paced, high-traffic environment
Excellent interpersonal, organizational, and group facilitation skills to work effectively as a team player. Comfort with setting and maintaining task priorities for multiple groups and stakeholders.
Several years of work experience, preferably in education. Ability to work with a dynamic and engaging staff and school community
Strong computer skills. Experience with database systems and office management, including Google Workspace, FACTS, and Magnus programs, is preferred.
Ability to maintain sensitive information in the strictest of confidence, exercising absolute discretion and professionalism.
Experience and comfort with working in a diverse environment.
Physical Requirements:
Prolonged periods of sitting, working at a computer, and using standard office equipment
Moderate physical work is required for this position, including frequent standing,, walking, and moving throughout the school building and grounds
Ability to lift and/or move items up to 15–25 pounds (e.g., supplies, files, packages)
Ability to bend, reach, stoop, and perform routine filing and organizing office tasks
Must be able to speak clearly and understand the speech of others.
