The Potomac School, a private K-12 school in McLean, VA, seeks an experienced ETC Coordinator and Auxiliary Programs Assistant. This is a full-time position reporting directly to the Director of Auxiliary Programs. The ETC Coordinator manages the ETC Program (which includes all after school classes, weekend sports clinics and break camps) and assists with many aspects of the Summer Program. As a member of the Auxiliary Programs Office works closely with Assistant Director of Auxiliary Programs and the Director of Summer Programs. In addition, this position often interfaces with parents, faculty, staff and outside vendors.
Managing day-to-day operations of Potomac’s three-season ETC programs, including after school classes, weekend sports clinics and break camps.
Oversee the scope, content and day-to-day operations of the ETC programs, working with the Director of Auxiliary Programs to watch for trends and make suggestions for new ETC programming opportunities.
Coordinate and implement the registration process for three seasons of all ETC programming.
Configure ETC database and work closely with Assistant Director of Auxiliary Programs on all financial aspects of ETC.
Work closely with all outside vendors, Potomac faculty and coaches assisting them with needs they may have for their ETC programs. Produce student rosters and parent contact information in a timely manner, including any medical issues participants may have.
Reserve space for all programming in database and work with AA’s and ETC teachers to obtain appropriate space on campus for ETC programming.
Order snack and coordinate set-up with crew and extended day staff to insure smooth transition.
Work together with Extended Day Director and transportation office to insure safe dismissal of all children attending ETC programs.
Liaison with AA’s and parents to keep them informed on all aspects of the ETC classes.
In consultation with Assistant and Director of Auxiliary Programs, develop and provide weekly Paw Prints submissions.
Assist Director and Assistant Director with Summer Programs operations providing professional customer service in person, by phone or email to Summer Programs families and staff.
Assist in assuring program compliance with best practices and/or standards for licensing of child day centers enforced by the Virginia Department of Social Services.
Work as a team member on continual website updates for both ETC and Summer Programs.
Work as a team member on year-round marketing of Summer Programs, including working at camp fairs.
Assist Director and Assistant Director with Summer Programs staff and camper files including creating, tracking and updating all files.
Assist camp directors/staff with ordering supplies and reservations; provide accurate financial tracking to Assistant Director.
Work closely with Director and operations department on all space needs for Summer Programs.
Assist with summer staff orientations and work with Director of Summer programs to provide materials or supplies needed for each presentation.
Assist Director with all other Auxiliary projects as they arise. These include, but are not limited to: School Safety and Security Committee, Travel Programs etc.

The candidate must have a bachelor’s Degree and/or significant working experience with the job-related functions listed above. Must have extensive experience, interest and comfort level using various databases and computers. Must be a people person and enjoy working with teachers, students, and parents. Strong knowledge of computer applications including CampBrain, MS Excel, Google Drive and Microsoft Office is a must. Basic web, graphic design and content editing, Experience with Adobe creative software such as Photoshop, InDesign and Illustrator is essential.
