Position summary: To work in cooperation with the Director of Athletics to manage the logistics associated with successful athletic department operations including but not limited to transportation, event management, VISAA and conference obligations, uniform and equipment management, and athletic website data.
Uniform and Equipment Management
Manage inventory, distribution, and collection of all athletic uniforms and equipment to over 50 teams.
Work in coordination with business office and athletic secretary to bill for unreturned items.
Maintain calendar for uniform replacements and make timely recommendations to Athletic Director for equipment and/or uniform purchases.
Manage communication of expectations with coaches effectively so that the school is able to retain 90% of all uniforms and equipment each year.
Answer incoming calls to the athletic department and distribute accordingly
Generate and distribute pre-season confirmation document for frequent opposing schools.
Solidify officials and be point person for assignors and invoicing.
Manage athletic department social media account.
Manage game day personnel and compensation (scoreboard workers, announcers, crowd control, auxiliary workers)
Ensure all game day personnel is trained and in place prior to game beginning.
Handle VISAA and conference (LIS & VPL) paperwork and registration annually.
Athletic Website Duties
Oversee schedule data input into the school website and manage changes throughout the season.
Manage team rosters and input into Vera-cross.
Work in coordination with Communications Dept. to manage athletic website (Vera-cross and Final site) and ensure all information is accurate.
Post news and announcements, scores, and other pertinent info regarding athletics.
Manage transportation schedule for athletics (away matches, intercampus shuttles, practice needs) in conjunction with entire school transportation needs.
Schedule charter busses as needed for longer trips.
Provide fleet manager and drivers with trip schedules bi-weekly.
Other duties as assigned by Athletic Director

Extensive knowledge of athletic operations.
Extensive experience with Microsoft office.
Extensive experience with website management (preferred experience with Vera-cross and/or final site)

Ability to be highly organized while managing multiple duties.
Ability to be a proactive planner and thinker.
Ability to work closely with the Athletic Department and coaches
Personable, great communication skills, ability to establish and maintain positive relationships with staff, coaches, students, and parents
Education and experience:
Degree from an accredited college or university;
Previous operational experience in a school, community athletic organization, or college program
Master’s Degree in Sports Administration, Business Administration, or Sports management;
2 years of experience as a coach/ member of athletic department in an independent school setting.
